Cutting invoice processing from 30 hours a week to under four
A 25-person accounting firm was keying hundreds of client invoices into its accounting software by hand every week.
- less time spent on invoice entry
- 87%
- faster month-end close
- 2 days
- of review time per week
- < 4 hrs
The challenge
Every month-end, three staff spent most of their week opening emailed invoices, typing supplier details, amounts and tax codes into the accounting system, and chasing missing documents. Errors surfaced late, and peak weeks meant overtime.
What we built
We built an intake pipeline that collects invoices from a shared inbox, extracts the fields with AI, checks them against supplier records and tax rules, and creates draft bills in the accounting system. Anything below the confidence threshold lands in a review queue with the original document alongside.
The result
Staff now review exceptions instead of typing every invoice. Month-end closes two days earlier, and the team moved the recovered time to advisory work that clients pay more for.
